Information pack for those attending the Conference

Salaamun Alaikum

In order to enable the World Federation and the host Jamaat to provide the best service possible during the conference we need the Regional Federations and Jamaats to provide us with logistics information, as per below. In addition, please find below some updates for the arrangements in Dubai. 

The opening session is on Thursday night 14 September 2006 .
The conference  will start on Friday 15 September 2006 and will Inshallah end on Sunday night 17 September.

Attendance
To help us arrange for your seat in the conference hall, your conference folder and papers, your name badge, catering etc, it is important that you action the following by 15 August 2006 at the latest:

All members are requested to send to the secretariat@world-federation.org a full list of Councillors and Delegates who will be attending as their representatives.

All Councillors, Delegates, Invitees and Observers are requested to confirm their attendance by the deadline of 15 August 2006 by emailing their confirmations to wftri06@dubaijamaat.com with a copy to Secretariat@world-federation.org

If you need accommodation or visa, please write directly to wftri06@dubaijamaat.com or complete the attendance booking form

If you are planning to participate at the Conference and need assistance with VISA arrangements, please contact Dubai Jamaat organization committee at(wftri06@dubaijamaat.com). We strongly recommend that you do so as early as possible especially if you are from India or Pakistan, in order to ascertain the requirements and obtain the VISA in time.

Please send Dubai Jamaat a clear copy of your passport. Please note also that the cost of each visa is USD 100.

Airport transfers
We regret that it will not be possible to provide airport transfers to any of the Conference Participants. On arrival, please make your own way to your hotel. If you are coming in a group, the hotel may arrange transfers for you. wftri06@dubaijamaat.com will guide you if you have any queries

Registration on arrival
On arrival in Dubai, Delegates, Councillors and Invitees are requested to register as early as possible and collect their identity badges (Note: Observers do not need to register and do not need identity badges). Registration may be done at the opening session majlis at Satwa Imambargah on Thursday night 14 September or at Majmatul Ahlul Bayt on the morning of Friday 15 September prior to Session 1 of the Conference.

Transport to the conference venue
For those staying at the hotels recommended by the host Jamaat, special buses will run between the hotels and the conference venues at appropriate times. For those who are making their own accommodation arrangements, please arrange your own transport to the Conference Venue.

Accommodation
The following rooms have been booked and are available at first come first serve basis. These rooms need to be booked before the deadline of 15 August 2006, otherwise they will not be available. Remember: September is a busy time in Dubai and accommodations need to be booked in advance. The hotels will not hold the rooms for us after the deadline. If you need accommodation, please apply on line (The form will be on the web site within a few days):

Dhow Palace Hotel – 5*
Single or Double for upto 2 people – Dhs 550 per room
Rates are Nett and include Breakfast.

Imperial Residence – 3*
One Bedroom for 2 people (15 Available) – Dhs 350
Two Bedroom for 4 people (15 Available) – Dhs 500
Rates are Nett and include Breakfast.

Venues (Directions)
The Opening Session Majlis will be held at Satwa Imambargah on Thursday evening 14 September 2006.

All the remaining Conference Sessions, Namaz and lunch, Namaz and dinner will be held at Majmatul Ahlul Bayt, over the period 15 – 18 September 2006.

Majmatul Ahlul Bayt - Located in Jaffliya Area
From Garhoud Bridge, go towards Sanaa Fashions main Intersection which is off Karama area. Keep on going straight from the intersection and make a U turn at the Traffic Light. Take the 2nd right, just before EPPCO Petrol Station and right opposite to EIDGAH. Majma e AhlulBayt is on your right side after approximately 150 meters.

Satwa Imambargah - Located in Jaffliya Area
From Garhoud Bridge, go towards the Trade Center. Before passing Trade Center, take the Flyover exit towards Dhiyafa Road. At the end of the Flyover, take the immediate right turn. Once you have turned right, go straight and pass the 1st Roundabout. Approximately 50 meters down from the roundabout, you will see Satwa Imambargah on your left hand side. As there is no direct left turn, you will have to come back by making a U turn at the next Roundabout.

Bahraini Mosque - Located in Jaffliya Area
The Bahraini Mosque is located opposite the Satwa Imambargah.

Smoking
Kindly observe the smoking regulations in and around the conference venues. Smoking is not allowed at all times inside any of the conference venues.

Literature for distribution
Literature brought by Jamaats will be launched and distributed in a controlled manner – a few per session. Please hand over all such literature to the World Federation Staff or Host Jamaat Reception Committee.

Dress Code
All are reminded that the World Federation expects all attendees to be suitably attired in keeping with the decorum, spirit and the practice of Sharia. This is a meeting of the leadership of the Community and hence the importance of setting standards and examples for the Community at large.

The dress code for women throughout the Conference (at all sessions including focus forums of all boards and desks and all outings) should be correct hijab, the minimum being a lose full length outer garment and a scarf. The Women's desk will be more than happy to assist and advise on the do’s and don'ts on the matter.

The dress code for men is sombre clothing with no sleeveless clothes and no shorts.  Certain corridors, stairs, lifts at the venues will be reserved entirely for women. Men are requested to respect the requirement of privacy by the women.

Namaz & Meals
Namaz will be prayed with Jamaat and meals will be served at times at venues given in the daily time tables.
