Information pack for those attending the Conference

In order to enable the World Federation and the host Jamaat to provide the best service possible during the conference we need the Regional Federations and Jamaats to provide us with logistics information, as per below. In addition, please find below some updates for the arrangements in Toronto. 
 
The Conference will take place at Jaffari Community Centre, 9000 Bathurst Street, Thornhill, Ontario, L4J 8A7, Canada.

There will be a majlis on Thursday night, 22 October 2009 at the above venue.

The conference will start on Friday at 9 a.m. 23 October 2009.

Attendance
To help us arrange for your seat in the conference hall, your conference folder and papers, your name badge, catering etc, it is important that you action the following by 10 September 2009 at the latest:

All members are requested to send to the secretariat@world-federation.org a full list of Councillors and Delegates who will be attending as their representatives.

All Councillors, Delegates, Invitees and Observers are requested to confirm their attendance by the deadline of 10 September 2009 by emailing their confirmations to wf2009toronto@gmail.com with a copy to Secretariat@world-federation.org

If you are planning to participate at the Conference and need assistance with VISA arrangements, please contact Toronto Jamaat organization committee at wf2009toronto@gmail.com. We strongly recommend that you do so as early as possible [before 31 August 2009] especially if you are from India, Pakistan or Middle East in order to ascertain the requirements and obtain the VISA in time.

Airport transfers
We regret that it will not be possible to provide airport transfers to any of the Conference Participants. On arrival, please make your own way to your hotel. If you are coming in a group, the hotel may arrange transfers for you. wf2009toronto@gmail.com will guide you if you have any queries.

Registration on arrival
On arrival in Toronto, Delegates, Councillors and Invitees are requested to register as early as possible and collect their identity badges (Note: Observers do not need to register and do not need identity badges). Registration may be done at the Thursday 22 October 2009 night majlis or on the morning of Friday 23 October prior to Session 1 of the Conference.

Transport to the conference venue
For those staying at the hotel recommended by the host Jamaat, special buses will run between the hotel and the conference venues at appropriate times. For those who are making their own accommodation arrangements, please arrange your own transport to the Conference Venue.

Hotel Accommodation
The Toronto Jamaat has managed to get special rates at Holiday Inn Express & Suites – located at Highway 7 & Leslie.  The charge per night per room is CAD 95 plus taxes for either single occupancy or twin occupancy.  Breakfast is included in the price.
 
A number of rooms have been booked and are available at first come first serve basis. These rooms need to be booked before the deadline of 15 September 2009 otherwise they will not be available. The hotel will not hold the rooms for us after the deadline. If you need accommodation, please apply on line:

The hotel booking will be undertaken on your behalf by Toronto Jamaat.  You undertake to settle your hotel bill in full with the hotel.

Private Accommodation
The Toronto Jamaat may be able to find you community members who are willing to offer accommodation to overseas guests for the Conference duration.  Please contact them at wf2009toronto@gmail.com for further information.

Smoking
Kindly observe the smoking regulations in and around the conference venues. Smoking is not allowed at all times inside any of the conference venues.

Literature for distribution
Literature brought by Jamaats will be launched and distributed in a controlled manner – a few per session. Please hand over all such literature to the World Federation Staff or Host Jamaat Reception Committee.

Dress Code
All are reminded that the World Federation expects all attendees to be suitably attired in keeping with the decorum, spirit and the practice of Sharia. This is a meeting of the leadership of the Community and hence the importance of setting standards and examples for the Community at large.

The dress code for women throughout the Conference (at all sessions including focus forums of all boards and desks and all outings) should be correct hijab, the minimum being a loose full length outer garment and a scarf. The ladies welcoming committee will be more than happy to assist and advise on the do’s and don'ts on the matter.

The dress code for men is sombre clothing with no sleeveless clothes and no shorts.  Certain corridors, stairs, lifts at the venues will be reserved entirely for women. Men are requested to respect the requirement of privacy by the women.

Namaz & Meals
Namaz will be prayed with Jamaat and meals will be served at the same venue.
